  • What type of documents is Scalaris ASP predestined for?
  • With Scalaris ASP, you can manage digitized paper documents (converted record files, incoming letter post, document images, incoming invoices, contracts, etc.) as conveniently as electronic documents (word, excel, PDF, emails, including attachments) throughout their entire lifespan.

  • What services are included in the available base packages?
  • Apart from the scanner for the digitizing of paper-based documents, all components are included in the different Scalaris ASP base packages. This allows for an immediate change to a web-based electronic document lifecycle management.

  • Can I digitize paper documents and files with my existing scanning infrastructure?
  • Fundamentally, yes. The Scalaris ScanStation (scan client) included in the package supports numerous commercial scanner models through the universal ISIS and Twain interfaces. A list of supported scanners is available in the Download area.

    Upon request, we offer the following services for the scanning of your documents:

    • Customized scanning solutions
    • Configuration of the interfaces for your existing scanning infrastructure
    • Direct integration of multifunction devices
    • Scanning of large volumes of documents (e.g. paper-based archives) through our partners
  • Which additional options can I book?
  • Scalaris ASP offers you the following options:

    • o Expansion of memory in gigabyte steps
    • o Increase of the volume of documents in packages of 5000 documents
    • o Step by step increase of the number of named users
    • o Piece by piece increase of the number of scan and desktop clients

    Apart from the archive option (= irreversible option), you can unsubscribe from booked options at any time if your needs change. Hence, you have a guarantee that you will only pay for services that you really need!

  • How long does a minimum contract with Scalaris ASP run for?
  • The minimum contract period is 24 months.

    In order to profit from even more attractive conditions, you can increase this minimum period at any time. In this case, the original 24 month contract will be stopped and be replaced by a contract with an increased period of 36, 48 or 60 months.

  • Can I increase the storage capacity if needed?
  • The capacity of your storage area and the number of saved documents on Scalaris ASP can be expanded seamlessly:

    Expanded storage capacity
    Each additional gigabyte (GB) of memory costs you only CHF 5.60/€ 3.50 per month (excluding sales tax). The effectively used memory is determined on the last day of the month (= reporting day). If the memory used for your documents exceeds the contractually agreed upon storage capacity by more than one GB, the costs for the additionally used memory will automatically be added to your invoice for the next month.

    Increased number of stored documents
    If you would like to manage more documents with Scalaris ASP than you had planned upon completion of the contract, you always have the option of booking packages of 5000 more documents. The corresponding amount of memory is then already included. The costs for this can be found in our price list.

  • What happens if I modify a stored document?
  • When you edit a document, a new version will automatically be produced and stored in the DMS from Scalaris ASP. The resulting document history (versioning) gives you a complete overview of all editing steps done to your documents.

    Note: Each new version is considered another document and thus requires the corresponding amount of memory. If you want to manage a lot of documents with Scalaris ASP, from which multiple versions exist, it might be that you must increase the amount of memory for your selected base package before the stated amount of documents is reached.

  • What is a desktop client?
  • The versatile Desktop Client connects you both with your personal documents and with other relevant documents that are stored in the central document management system. Through the “smart” integration with Microsoft Office, you have a “single point of access” directly at your workspace to these documents, according to your access rights.

    Documents can be archived context-oriented by means of simple «Drag & Drop», irrespective of the document format. This also applies for e-mails and their attachments that can be stored as a unit or separate entities.

    Comfortable search masks with browsing and preview functions ease and accelerate information access. Stored content is traceable on file and document level within seconds and can be viewed directly on your PC screen.

  • What is a scan client?
  • The scan client (Scalaris ScanStation) included in every base package supports the universal ISIS and Twain scanner interfaces and allows for the integration and operation of a wide range of commercial document scanners.

  • How are the services used invoiced?
  • The reporting day for the invoice is the last day of the month. Provided no additional options (more memory, more named users, desktop or scan clients, etc.) were booked during the previous month, you will receive a monthly invoice from us for the services used in accordance with the selected base package.
